The cost people forget: late freight bills
A freight invoice usually waits for the proof of delivery (POD). If the POD photo is on someone’s phone, the bill goes out late and your money sits with the customer. These numbers are assumptions to replace with yours: you bill ₹30 lakh of freight a month, and bills go out 10 days late on average because PODs are chased by phone. At a cost of money of 12% a year, that is ₹30,00,000 × 12% × 10 ÷ 365 = about ₹9,863 a month, before counting the invoices that are disputed because nobody can find the POD.
Four ways transporters run today
| Option | Fits when | Breaks when |
|---|---|---|
| Excel + Tally | A few trucks, one office, LRs written by hand | Per-trip profit is a guess, POD is chased on WhatsApp, and branch data arrives late |
| Standalone bilty software | You mainly need LR printing | Trip expenses, driver settlement and accounts are somewhere else |
| Fleet or GPS app | You mainly need tracking | Billing, LR and accounts are separate |
| Integrated transport ERP | LR, trips, fuel, tyres, driver settlement, freight billing and accounts should share one record | You only run a couple of vehicles and never need per-trip profit |

Signs it is time to switch
- LRs are written by hand and re-typed into Tally by a branch accountant.
- Diesel, toll and driver advances are settled weeks after the trip. See driver hisab.
- You cannot say which vehicle or route makes money.
- PODs live in WhatsApp and freight bills wait for them.
- Tyre, battery and service dates are tracked in a register, and a breakdown is the reminder.
- Vehicle documents such as insurance, permit and fitness expire without warning.
Questions for any vendor
- Does the LR support Paid, To-Pay and TBB, and does it record the e-way bill number?
- Show me driver advance, wallet and settlement for one real trip.
- Show per-trip profit with fuel, toll and driver costs on it.
- Can I attach the POD and send the freight invoice with it?
- How are vehicle documents and expiry dates tracked?
- Can I export everything if I leave?

Frequently asked questions
How much does transport management software cost in India?
It varies with vehicles, users and modules. Budget for the subscription, setup and training. WebSoftOS transport ERP runs on plans of ₹999, ₹1,999 and ₹2,500 per site per month excluding GST.
Can I keep Tally for accounts?
During a parallel run you can, but the aim is for LRs, trips and freight invoices to post into the accounts automatically so nothing is typed twice.
Does it work for owned and hired vehicles?
Vehicle masters, trips and driver settlement cover your own fleet. If you also hire vehicles, ask the vendor how hired-vehicle trips and payments are recorded before you decide.
