What is Hermes?

Hermes is the AI agent layer of WebSoftOS. Instead of a chatbot bolted onto the side, each agent works directly against your ERP through governed tools — with your permissions, inside your company scope, and with every action logged. Agents prepare the work; people approve it.

Every Hermes run follows the same seven steps, whether you started it from chat, a schedule or a document event.

    The Hermes orchestrator works out which specialist agent owns the job — finance, sales, procurement, inventory, HR or operations.

    The agent queries your ERP through governed tools. It can only see what you can see, what its own role allows and what your company scope permits.

    It answers, or prepares the document — a purchase invoice, quotation, purchase order or journal — as a draft. It never deletes or cancels.

    Checks every change

    Every create, update or submit passes a policy gate. If no rule explicitly allows an action, the default is “ask a human”, not “allow”.

    Review and submit

    You open the draft, correct anything, and submit it yourself. If the agent was unsure, it paused in “Needs Input” and notified you instead of guessing.

    Each tool call, cost and decision is written to the run’s audit trail, and a short lesson from the run — including your corrections — is kept for next time.

Each agent has its own role, its own list of record types it may touch, and its own budget. Anything outside its scope, it hands back.

Ledgers, receivables, payables, bank, stock movement. Drafts purchase and sales invoices, orders, challans, payments and journals.

Suppliers, material requests, purchase orders and vendor comparison sheets.

Items, warehouses, stock levels and reorder checks, with purchase orders for low stock.

Document reader

Reads photos and PDFs of bills into structured data for the Finance Agent. It extracts only — it never creates a document itself.

Drafts, not decisions

Agents create and update drafts. Submitting is gated by policy and, in practice, done by a person.

Your permissions, not more

Access = your role ∩ the agent’s role ∩ the agent’s allowed record types ∩ your company scope.

Fail-closed policy

Policies decide allow, ask or deny per action. Anything not covered falls back to “ask”.

Approvals are re-checked

When you approve, Hermes re-verifies permission, policy and freshness, then runs exactly the approved action — not the AI again.

Cost caps and kill switch

Per-run cost ceilings, monthly budgets per agent and overall, and a single switch to stop every agent.

Full audit trail

Every message, tool call, document touched and the model cost is recorded against the run.

Needs Input, not guesses

When an agent reaches a decision it cannot make confidently, it pauses and notifies the person who asked.

No changes to your ERP schema

Hermes adds no custom fields to standard documents. It listens through hooks, so it can be switched off cleanly.

At the end of every run a short summary and lesson is saved, so the next similar task starts with “what happened last time”.

Your corrections

If you edit a draft an agent made, Hermes records the difference — the strongest signal it has for doing it right next time.

Questions about Hermes

What is Hermes?

Hermes is the AI agent layer built into WebSoftOS. A team of specialist agents — finance, sales, procurement, inventory, HR and operations — answer questions on your live ERP data and prepare routine documents as drafts for a person to review and submit.

Can Hermes post entries or submit invoices on its own?

No. Agents create drafts. Every change passes a fail-closed policy gate, and submitting is reserved for a human. Agents have no tool to delete or cancel documents.

Can an agent see data I am not allowed to see?

No. Every tool call runs with the intersection of your permissions, the agent’s own role, the record types that agent is allowed to touch and your company scope — so an agent can never see more than the person who asked.

Which AI model does Hermes use?

Hermes is model-agnostic. It runs on leading large language models from OpenAI or Anthropic (Claude), and picks a model per task — a fast model for reading documents, a stronger one for multi-step work.

How is AI cost controlled?

Each agent has a per-run cost ceiling and a monthly budget, there is an overall monthly budget, and an admin can switch every agent off at once. When a budget is used up, read-only questions still work but new changes stop.
