What is Refinery ERP?

WebSoftOS Refinery Suite is an industry application for ERPNext v16 that runs a refinery or petroleum terminal from crude nomination at the port to the final invoice: marine receipt, tank farm stock with temperature correction, production and mass balance, quality certification, weighbridge, truck dispatch and finance. SCADA stays isolated, and the weighbridge keeps working offline. It is quoted per site and modules, so price is on request.

Why switch

What changes with Refinery ERP

Today

Stock in the tanks never matches the books, because gauging, temperature correction and receipts are reconciled by hand.

With WebSoftOS

Gauging is corrected to standard temperature and reconciled in a daily mass balance with loss buckets, so unexplained losses show within a day.

Today

SCADA readings are re-typed into Excel, so errors creep in and operators lose time.

With WebSoftOS

SCADA data moves one way through a data diode into the ERP automatically with validation, so nothing is re-typed.

Today

Ship–shore differences, demurrage and truck weights are disputed with paper records.

With WebSoftOS

A digital Statement of Facts, ship–shore reconciliation and a laytime calculator replace paper records and speed up claims.

Today

Product that is off-spec or over a customer’s credit limit can still leave the gate.

With WebSoftOS

Batch certification from the lab blocks off-spec dispatch, and a credit check runs at the order and again at the gate.

Features

Everything in Refinery ERP

30 features across 6 modules — on top of accounting, GST, inventory and payroll.

Crude procurement & contracts

Buy crude on formula pricing and settle provisional and final invoices.

  • Term and spot crude contracts with quantity tolerance and laycan windows
  • Formula pricing: benchmark average plus differential plus freight
  • Provisional invoice on B/L and final invoice after the pricing period
  • Letter of Credit register with utilisation and expiry
  • Multi-currency books with exchange gain and loss

Marine & port operations

Receive vessels digitally and settle ship–shore differences and demurrage.

  • Vessel master and nomination with ETA and documents
  • Berth and jetty scheduler with clash detection
  • Digital Statement of Facts with time-stamped events
  • Ship–shore difference and transit loss against tolerance
  • Laytime and demurrage calculator per charter-party terms

Tank farm & stock

Know the real stock in every tank, corrected for temperature.

  • Tank gauging with temperature correction (ASTM D1250)
  • Stock at standard temperature so weather does not move the books
  • Transfers between tanks and lines
  • Custody meter and tank opening and closing figures
  • Daily mass balance with loss classification

Production & quality

Run production against assay and certify each batch before it leaves.

  • Production runs with yields against crude assay
  • Batch certification linked to the lab (LIMS)
  • Certificates of Quality for each product batch
  • Off-spec batches blocked from dispatch
  • Slate comparison using current product prices

Weighbridge, gate & dispatch

Weigh, queue and load trucks even when the network is down.

  • Offline-first weighbridge that keeps printing tickets without the network
  • RFID and ANPR at the gate with automatic weight capture
  • Token queue and automatic loading bay allocation
  • Delivery notes and invoices created from the loading
  • Weigh-versus-meter check on every truck

Finance & compliance

Post operations to the books with credit control and approvals.

  • Real-time credit check at the order and at the gate
  • Automatic postings from operations to the ledger
  • VAT 5% with a UAE e-Invoicing (Peppol) connector
  • Corporate Tax readiness and period-close workflow
  • 40+ configurable approval workflows with maker–checker
How it works

How work flows in Refinery ERP

  1. 1

    Nominate

The vessel is nominated against a crude contract with laycan and documents.

  2. 2

    Receive

Discharge is logged digitally and ship and shore figures are reconciled.

  3. 3

    Store and refine

Tank stock is temperature-corrected and production runs post yields and losses.

  4. 4

    Certify and load

The lab certifies the batch, and trucks are weighed, queued and loaded.

  5. 5

    Invoice

Delivery posts the invoice and the ledger entries automatically.

Which tanks are below minimum level?
HermesLists the tanks with current stock and drafts a transfer request for review.
What was yesterday’s mass balance loss?
HermesShows the loss by bucket against the tolerance.
Which customers are over their credit limit?
HermesLists them with the amount and the open orders on hold.

Pricing

Refinery ERP is quoted for your business: the price depends on users, sites and modules. Contact us for price and we will reply with a quote and a tailored demo. It runs on the same hosted WebSoftOS platform with daily backups and HTTPS.

Implementation

Refinery Suite is delivered as a scoped project on-premise or in a UAE-hosted private cloud. We map your tanks, products, contracts and approval workflows, connect SCADA and the weighbridge, and train the marine, tank farm, laboratory, gate and finance teams. Scope and timeline depend on the site, so please contact us for a plan and a quote.

Frequently asked questions

How much does Refinery Suite cost?

Pricing depends on the plant, the modules you need and the number of users, so it is quoted per site. Use the contact form and we will send a quote with a tailored demo.

Does SCADA have to be connected to the internet?

No. SCADA stays isolated in the plant network. Readings move one way through a hardware data diode to a bridge, and from there into the ERP automatically with validation.

What happens to the weighbridge when the network is down?

The weighbridge is offline-first: it keeps weighing, printing tickets and opening barriers, and syncs to the ERP when the connection returns.

Does it correct stock for temperature?

Yes. Tank readings are corrected to standard temperature using ASTM D1250 factors, so stock is not changed by the weather, and a daily mass balance classifies the losses.

Is it suitable for the UAE?

It is designed for UAE and GCC operators, with VAT at 5%, a UAE e-Invoicing (Peppol) connector and Corporate Tax readiness. Hosting can be on-premise or a UAE private cloud.

Can I change the approval workflows?

Yes. More than 40 workflows come ready, and your team can adjust states, roles and SLAs in the ERPNext Workflow builder.
