Equipment rental utilisation calculator

Utilisation = days on rent ÷ available unit-days × 100. 20 units available for 30 days is 600 unit-days. If 390 are on rent at ₹2,500 a day, utilisation is 65% and rent is ₹9,75,000. At 75%, the same fleet earns ₹1,50,000 more.

Result

Available unit-days600
Utilisation65.0%
Rent earned in the period₹9,75,000
Rent per available unit-day₹1,625
Rent at 75% utilisation₹11,25,000
Extra rent at that utilisation₹1,50,000

Key takeaways

  • Utilisation tells you how much of what you own is earning. Idle days are the cost of owning rental stock.
  • Calculate it per item or category, not for the whole yard; one slow category can hide behind a busy one.
  • Exclude units under repair or out of order from available days, or track them separately.
  • A few points of utilisation is often worth more than a rate increase, because the cost of owning the unit is already paid.

Equipment Rental Utilisation formula

Available unit-days
units × days in period
Utilisation %
unit-days on rent ÷ available unit-days × 100
Rent earned
unit-days on rent × average rent per unit-day
Rent per available unit-day
rent earned ÷ available unit-days

Worked example: 20 units for one month

A rental firm has 20 units of a machine, each available for 30 days. 390 unit-days were on rent at an average of ₹2,500 per unit-day.

  1. Available unit-days = 20 × 30 = 600
  2. Utilisation = 390 ÷ 600 = 65%
  3. Rent earned = 390 × ₹2,500 = ₹9,75,000
  4. Rent per available unit-day = ₹9,75,000 ÷ 600 = ₹1,625
  5. At 75% utilisation, rent = 450 × ₹2,500 = ₹11,25,000, which is ₹1,50,000 more

That extra rent comes from the same machines with no new capital, which is why a rental firm should know its utilisation by item before it buys more stock.

Raising utilisation

  • Know what is free on each date, so you can say yes quickly to a booking.
  • Shorten the gap between return and the next dispatch, with inspection and repair done in that window.
  • Block stock the moment a booking is confirmed so the same unit is never promised twice.

Frequently asked questions

What is utilisation in equipment rental?

It is the share of available days that equipment is on rent: days on rent divided by days available, as a percentage.

What is a good utilisation rate for rental equipment?

It varies by equipment type and season, so benchmark against your own history by item. Many firms aim for the 70–80% range for core items, with specialised items lower.

Should repair days count as available?

Usually no. Remove units that are under repair from available days, or report them separately, so utilisation reflects the units you could actually have rented.
