Hospital management software (HMS) cost in India, and when a nursing home should replace separate tools

Small and mid-size hospitals often run OPD billing, IPD, pharmacy and accounts on four different tools and assemble the final bill by hand at discharge. This post lists what hospital software really costs, the signs that it is time to move, and the questions to ask, including about ABHA and digital health records.

What you pay for

  • Subscription, usually per month per site, with a limit on logins. A hospital needs many: registration, billing, doctors, nursing, pharmacy, lab, TPA desk and accounts.
  • Implementation in phases: billing and pharmacy first, then IPD, nursing and OT, then insurance and quality.
  • Data import: patient masters, pharmacy stock with batch and expiry, service price lists and payer rate cards.
  • Training by department, with a parallel run before cut-over.
  • Hardware and printing: counters, barcode and label printers, and a reliable internet line.

WebSoftOS plans cap staff logins at 2, 5 or 10 (₹999, ₹1,999 and ₹2,500 per site per month excluding GST), so a hospital with more users than that should talk to us about its user limit instead of assuming the standard plan fits. Hospital rollouts usually run 3–6 weeks in phases. See the pricing.

Signs it is time to replace separate tools

  • OPD, IPD and pharmacy are separate tools, so the discharge bill is assembled by hand.
  • TPA documents are gathered after discharge, and claims are queried. See the TPA claim checklist.
  • Pharmacy stock and expiry are tracked apart from the patient bill, so consumed items are not always charged.
  • Statutory registers (narcotics, Schedule H1, MLC, biomedical waste) are on paper.
  • Doctor payouts are calculated in a spreadsheet at month end.
  • Nobody can see bed occupancy or the day’s collections without asking three people. Check yours with the bed occupancy and ALOS calculator.

Questions for any HMS vendor

  • Show an OPD visit, an admission, a pharmacy sale and the final bill on one patient record.
  • Show a pre-authorisation, a claim with documents and a package rate for one payer.
  • Show pharmacy dispensing with batch and expiry and a Schedule H1 entry.
  • Does it store the ABHA number and the patient’s consent, and what does it actually support for ABDM and NHCX today? Ask for it in writing.
  • Who can see which patient data, and is there an audit trail?
  • Can I export all patient and billing data if I leave?

ABHA and digital health records

ABHA is the 14-digit health account number under the Ayushman Bharat Digital Mission. Hospital adoption is largely voluntary, with incentives and PM-JAY processes encouraging it. WebSoftOS Hospital ERP records a patient’s ABHA number and address, validated as 14 digits, and patient consent records. For anything beyond that, such as ABDM milestone certification or live claim exchange, confirm the current position with any vendor, including us, and with the National Health Authority.

Frequently asked questions

How much does hospital management software cost in India?

Prices vary with beds, users and modules. Budget for the subscription, phased implementation, data import, training and hardware. Ask any vendor for the cost at your number of users, not just the entry plan.

Can a 50-bed nursing home use cloud HMS?

Yes, if the internet line is reliable and the vendor covers OPD, IPD, pharmacy, lab and TPA claims. Plan for a phased rollout over a few weeks with a parallel run.

Is ABDM compliance mandatory?

It is largely voluntary for most hospitals, with incentives and PM-JAY processes encouraging adoption.
