GST e-invoicing explained for small businesses
E-invoicing confuses many business owners because it sounds like emailing an invoice. It is not. This post explains the idea and how to get ready. Always confirm current rules and turnover thresholds with your CA, as they have been revised several times.
What e-invoicing actually is
With e-invoicing, your B2B invoice data is sent to the government’s Invoice Registration Portal (IRP) in a standard format. The portal validates it and returns an Invoice Reference Number (IRN) and a signed QR code, which are printed on the invoice.
It does not replace your invoice or your GST return. It adds a registration step to the invoice, so the data reaches GST returns automatically.

The two are connected: the IRP can generate the e-way bill data from the e-invoice, which saves re-typing.
Who needs it
E-invoicing applies to businesses whose aggregate turnover crosses a notified limit. The limit has been lowered in stages since it was introduced, so check the current figure on the GST portal or with your CA rather than relying on an older article.
How to prepare
- Make sure customer GSTINs and HSN codes are correct in your masters.
- Use billing software that can generate the IRN and QR code directly from the invoice.
- Decide who is responsible for cancelling or amending an invoice within the permitted window.
- Test with a few invoices before going live.

- Wrong or missing GSTIN on the customer record.
- Editing an invoice after the IRN has been generated.
- Treating e-invoice and e-way bill as separate manual jobs instead of one workflow.
